    Your Mission:

    To maintain, optimise and support the core operational platforms and processes that ensure our delivery and commercial functions run like clockwork.

     

    Aims:

    Maintain clean and consistent data across our core systems (Kantata OX, HubSpot, Jira, Bamboo).

    Provide timely and insightful operational reporting and analysis.

    Support resource and contractor management to align with delivery and project needs.

    Enable efficient onboarding of clients, team members, and contractors.

     

    Measure of success:

    High data accuracy across tools.

    Smooth onboarding experiences for contractors and employees.

    Well-structured reports and dashboards delivered to stakeholders.

    Efficient coordination between resourcing and delivery.

     

    Day to day:

    Maintain operational hygiene across Kantata OX, HubSpot, Jira, and Bamboo through regular audits and updates.

    Track and enrich lead data within HubSpot and support the commercial team with CRM insights.

    Monitor pipeline performance and sales trends, supporting business development reporting.

    Coordinate and maintain resource plans and leave tracking in line with project demands.

    Oversee contractor onboarding, including documentation, system access, and project alignment.

    Manage contractor records, ensuring contracts, invoicing, and procurement processes are up to date.

    Assist with client onboarding, supporting project setup and documentation accuracy.

    Create and deliver reports on operational KPIs, resource utilisation, financial trends, and project health.

    Support governance cadence, ensuring internal and client reviews are scheduled and documented.

    Contribute to ongoing process improvement by recommending tools and methods that enhance efficiency.

    About you:

    Experience in operations, data management, or project coordination, preferably in a digital or agency environment.

    Comfortable working across multiple tools – Kantata OX, HubSpot, Jira, Bamboo, and Google Sheets.

    Organised, proactive, and confident communicating with stakeholders across departments.

    Able to spot and solve inefficiencies in process and data.

    Enthusiastic about delivering a great experience for team members, contractors, and clients alike.

     

    Our interview process:

    Stage 1️⃣ – 30 minute call with a member of our People team

    Stage 2️⃣ – 1 hour interview with our Head of Operations
